Programme Coordinator, Full time (Maternity cover – initially 6 months)

Location: Earthwatch Institute, Oxford
Role Description
The objective of this role is to ensure the programmes you work on deliver an excellent Earthwatch experience, which advances mission objectives, makes best use of resources and meets or exceeds customer expectations.
You will primarily be working on our corporate engagement programmes with Shell and Mitsubishi Corporation. On these programmes the employees help us to collect vital research data whilst themselves gaining a greater understanding of environmental issues and the need for Sustainable Development.
Your focus will be on selecting and preparing the participants for their involvement in the programmes. You will also help process the evaluation data after the participants have fielded and support with writing reports. You will be required to do this according to budget and required mission standards, working with your programme manager and other team members to deliver results against the agreed business plan.
Key to this is being an effective team player and working collaboratively with other parts of Earthwatch to achieve results. You will be customer focussed and have a great attention to detail as well as being able to learn processes quickly.
Key areas of responsibility
Overall responsibilities of all Programme Coordinators may include:
1. Fielding Participants
- Preparation of participants across assigned programmes (primarily corporate but potentially others e.g. educator, emerging scientists, etc)
- Screening participant forms
- Delivery of high quality customer service & participant stewardship
- Support in the creation of outreach materials sent to participants
- General administration to support programme delivery
2. Applications & Selections
- Coordinate participant application process
- Review participants applications
- Work with partners to select participants
3. Data Collection
- Collection of evaluation data after fielding and help other members of the team to process and analyse this data
- Provision of programme information for Earthwatch publications (to Marketing)
- Communicate results from projects to core/regional subject matter experts (Research and Learning) & Marketing
4. Database/Web
- Enter project, programme & participant information into EW database (called Athena with admin support)
- Update Measures of Success database
- Ensure updates on current partnerships provided to Marketing for Earthwatch website
5. Programme Documents
- Coordinate creation of key programme materials (pre-work etc) with Programme Managers and subject matter experts (Research and Learning)
- Work with Marketing on design & production of materials
6. Field Delivery
- Be trained as a Field Delivery Team member, to facilitate/support programmes as and when needed.
Personal Specification
Required
- A pro-active self-starter who works on their own initiative
- Reliable- will deliver required duties to agreed deadlines
- Experience of providing high quality customer service
- Excellent written and verbal communication
- Confident using Outlook, Word, Excel and PowerPoint
- Office systems experience, with great attention to detail and process
- Proven track record in project/programme coordination and delivery - excellent planning and organisation skills, able to multi task, work well under pressure.
Desirable
- Experience of working in an NGO and/or corporate environment
- Experience of developing communications for a corporate audience
- Interest in the environment, sustainability and NGO sector, and working globally across different regions
- Ability to drive minibus (e.g. car driving licence includes D1 or hold a PCV minibus licence).
